Z number vs MRN: which Hamburg reference do you need?

Two references in different parts of the process

DAKOSY identifies the Z number as a type of ZAPP reference associated with AES presentation. EMP/ZAPP supports Hamburg port export processes and connects to Germany’s ATLAS system. A port reference does not create a replacement MRN for an existing export declaration.

When somebody requests the “port number”, ask which field or process they mean. A forwarder, terminal and declarant may use different references within the same conversation. Label each number clearly in correspondence to help the recipient identify the relevant operation.

Do not enter a Z number into an MRN lookup

A public MRN result cannot replace the port operator’s check of the registration. For a Hamburg registration question, ask the party handling it for the port reference and current system response. For export confirmation, separately ask the declarant for the export documentation.

Prepare a simple reference map covering the declaration, transport and port operation. If somebody provides a status without identifying the reference, clarify which part it describes. Matching a vessel name or company name alone is not enough to reconcile the paperwork.

Prepare the registration information

Use this checklist to prepare your discussion with the port team. Confirm the final requirements for the particular process and cargo type.

• The export declaration document, MRN and identification of the goods it covers.
• The container reference or identification of conventional cargo and its separate parts.
• Current booking, carrier, vessel and voyage, terminal and planned timing.
• The allocation of goods between containers where the documents cover more than one.
• The party responsible for registration and any port reference already issued.
• Changes to booking, terminal, voyage, container or an instruction that was cancelled.

Investigate the mismatch at its source

Compare the latest transport instruction with the registration response. If a booking or terminal changed, send the port team both versions and the time of the change. Do not arrange a second registration simply because you cannot locate the first one.

DAKOSY’s documentation distinguishes confirmations, errors, rejections and control messages associated with port orders. Ask for the exact response and the data requiring attention. “The MRN does not work” leaves open whether the problem concerns the reference, port details or communication with the system.

Use the current EMP/ZAPP workflow

DAKOSY is moving ZAPP functions into EMP. Its notices state that ZAPP@Status was discontinued on 1 April 2025. An old guide directing you to that application should not be used as the current checking workflow.

Ask the handling party for the current channel and a response tied to your reference. Readiness for loading, completion of a port operation and confirmation of exit are different questions. AES also distinguishes release from exit certification. Name the stage you need when asking the declarant or port team for an update.
